The most important questions and answers about digital guest registration in Upper Austria.

When will the obligation to register guests in Austrian tourism and leisure businesses come into effect?

This cannot be answered concretely at the moment - we have to wait for the corresponding ordinance of the Federal Ministry of Social Affairs, Health, Care and Consumer Protection. It is likely that the obligation to register guests will apply in Austrian tourism and leisure businesses from Wednesday, 19.05.2021, 00:00.

 

To which businesses does the obligation to register guests apply?

This cannot be answered concretely at the moment - the corresponding ordinance of the Federal Ministry of Social Affairs, Health, Care and Consumer Protection must be awaited.
Presumably, the obligation to register guests will apply to the following businesses:

  • Gastronomy
  • Accommodation
  • Leisure businesses
  • Culture & events
  • Congresses & trade fairs
  • Sports facilities

The digital guest registration is also available to other tourism and leisure businesses free of charge.

 

What information does the ordinance require businesses to record when registering their guests?

This cannot be answered concretely at the moment - the corresponding ordinance of the Federal Ministry of Social Affairs, Health, Care and Consumer Protection must be awaited.
Presumably, the establishment must be able to disclose the following data to the district administrative authority:

  • Family name and first name
  • Telephone number or e-mail address
  • date and time of entering the establishment
  • the number of the administration site, if available

 

According to the ordinance, can more than one person be registered at the same time?

This cannot be answered concretely at present - the corresponding ordinance of the Federal Ministry of Social Affairs, Health, Care and Consumer Protection must be awaited.
In the case of visitor groups consisting of persons living in the same household, it is sufficient to disclose the data of only one adult person belonging to this visitor group.
For all other groups of visitors, each person must register individually.

 

How can an operator check whether his guests have registered via the digital solution?

Using the "View current status" function in the checkVisit app, the establishment can view anonymously at any time how many people have checked in per table.

 

 

How does check-out work and is it obligatory?

With self-registration via the QR code, the guest can check out himself and the persons he has checked in in the myVisitPass system.
Check-out is not obligatory.

 

Will my guests always remain checked in if they do not check themselves out?

Using the "View current status" function in the checkVisit app, the establishment can check out a table once the guests have left the table.
Alternatively, guests are automatically checked out after the average length of stay preset by the establishment has elapsed.

 

Does the digital guest registration "myVisitPass" have to be used?

No. This digital guest registration is a recommendation for nationwide use in order to keep the effort for businesses and guests as low as possible.

 

Are there any costs for me as a business? Does the business have to pay licence fees for the digital guest registration "myVisitPass"?

No. This is a service provided by Upper Austria Tourism and the tourism associations free of charge.

 

How quickly does the registration of the business for digital guest registration work?

Registration takes place via your tourism association (for businesses in D-municipalities via Oberösterreich Tourismus GmbH) and usually takes one working day.

 

Can I also generate numbered QR codes for my tables?

Yes, during the (initial) configuration you define the areas and tables of your business. In the "Print QR Code" tab of the WebClient, you can generate and print numbered QR codes for these tables. We recommend numbered QR codes.

 

May I cut out the QR code from the form?

Please note that in combination with the QR code, the data protection information must be displayed in any case (Art. 13 ff DSGVO). The responsibility under data protection law lies with the respective company.

 

Can a guest register without a mobile phone?

Yes. In this case, registration takes place via the "new customer" function of the checkVisit app. The host can provide the guest with a tablet for registration, for example, or the host can enter the data himself.

 

Is there support for questions or problems?

The contact person for questions is your tourism association (for businesses in D municipalities the Oberösterreich Tourismus GmbH).

 

Is there an analogue alternative if the technical infrastructure does not exist?

This cannot be answered concretely at the moment - we have to wait for the corresponding ordinance of the Federal Ministry for Social Affairs, Health, Care and Consumer Protection.
It will probably also be possible to use a paper form for guest registration. Whether uniform forms will be prescribed by the Ministry of Health cannot be answered at present.

 

I register my guests via the guest registration anyway. Do I need the myVisitPass system as an accommodation provider?

If you also register the guest's telephone number or e-mail address via the guest registration when checking in at the reception, no further registration is necessary. 

Attention: If you also provide areas (restaurant, wellness area, etc.) for day guests in your establishment, guest registration is mandatory upon entry to these areas. This registration can be done digitally (e.g. myVistitPass) or analogue (e.g. printed registration form). 

 

What advantages does the myVisitPass system from Feratel offer my business?

 

  • myVisitPass is absolutely data protection compliant. The guests' data are encrypted and are only forwarded to the responsible health authority upon request. After 28 days, the data is automatically deleted. 
  • The system is free of charge for your business and available throughout Upper Austria. A uniform system is very customer-friendly. 
  • The myVisitPass system can be stored on the mobile phone of every business, but also of every guest or customer and is very easy to use.
  • Simultaneous check-in and check-out of several persons of a family can be done in the system.

What is the CheckVisit app and why do I need it?

The CheckVisit app is the operational version of the myVisitPass registration system. You simply store the CheckVisit app on the operational smartphones or on the smartphones of your staff. With the app you can:

  • check in/check out guests who do not have a smartphone
  • Check in guests who show you their personal QR code
  • check out guests who have not checked themselves out
  • invite guests by e-mail who have not yet registered themselves in the myVisitPass system
  • get an overview of the number of checked-in guests per defined QR code zone

Note: If the guest carries out the check-in/check-out independently, you as a business have no additional effort.

You can download the CheckVisit app to your smartphones via the Feratel user interface of the myVisit Pass system.

 

What does the emergency look like? What do I have to do if the authorities contact me about a positive corona case?

If a guest has tested positive, the authority (in Upper Austria, this is the district administration or the magistrate) will contact you by phone and ask you to send the contact tracking data of a certain day. To do this, you enter the Feratel system with your access data. Under the item "Export registrations for health authority" you determine the corresponding date and export the encrypted file. You cannot open this file for data protection reasons. Send this file by e-mail to the district authority or the magistrate's office.
